Your starting point

Write one schedule of the help needed and ask every provider to quote against it. Separate skilled home health services from personal assistance and household support. Confirm who employs, supervises and replaces the worker before agreeing a start date.

Prepare a brief that reflects a normal week

List the tasks, times and preferences of the person receiving care. Include communication needs, routines they want to preserve and when family members are available. Describe the gaps without sending medical records through a general comparison form.

Identify who can make decisions and how the person receiving help will be involved. Ask an appropriate care professional to assess needs that cannot be described safely as ordinary household tasks.

Ask who is responsible for the service

Clarify whether the organization employs staff, introduces independent workers or only passes on contact information. Ask which responsibilities fall to the family under the proposed arrangement.

Request information about any applicable state licensing or registration, staff screening, training, supervision and complaint handling. Verify claims through the relevant authority rather than accepting a logo as proof.

Compare continuity and backup arrangements

Ask how a missed or late visit is handled, who answers outside office hours and what happens when the usual worker is unavailable. Find out whether the person can meet a proposed replacement and how instructions are shared.

Discuss the process if needs increase or a task falls outside the worker’s role. Ask who reviews the plan and how changes are authorized and priced.

  • Named service contact and escalation route
  • Supervision and task boundaries
  • Cover for absence and missed visits
  • Plan review and written change process

Price the whole week and read the exit terms

Request minimum visit lengths, evening or weekend rates, travel charges, deposits and cancellation fees. Compare a typical week in USD, including any administration cost. An hourly headline alone does not establish affordability.

If using insurance or a public program, obtain the coverage decision and approved service scope first. Medicare home health rules differ from ongoing personal care. Read the notice period, unused-payment policy and process for ending the service before signing.
